SiCLOPS contains a number of modules and features which can be used to automate the complete sales process. From initial Marketing Campaign management, through Prospect handling and Estimate production to the creation of Sales Orders, SiCLOPS offers tools which can make the sales team more efficient and cost effective. Once a sale has been made, Contracts, Assets and Jobs may also be generated with the minimum of additional input. |

Estimating and Sales Order
Processing Sales Management Details held against prospects include Source of the lead, Area and Type codes, Company size, Turnover, etc. Further 'user defined' fields may also be included using the Siclops 'More' feature. Each Prospect, (or existing client), may have one or more associated Opportunities, each with their own tasks, status, and weighting factors. As task details are entered, future 'To Do' activities may be defined, together with relevant personnel and due dates. Actual time spent is also logged automatically so as to 'cost' the sales process. Numerous reports are available, in addition to the Prospect Monitor - a real time view of Opportunities, Activities and To Do's. The information displayed, as well as the selection criteria, is user definable, and numerous templates may be created and used as required. Automated Text Messages or Emails may also be sent to named personnel when a task reaches its Due Date and needs to be performed. One of the key features of the Sales Management module is the 'Portable Prospecting' program. This is a separately installed, tailored, version of the main system, which may be used by sales staff whilst 'on the road'. This allows prospects, Opportunities and tasks to be managed on a disconnected laptop or PC and then synchronised with the central system when next connected. Full integration to the rest of the SiCLOPS system is standard, and allows the History of a Client or Contract to show details relating to the initial sales activities. Estimating, Sales Order Processing and Invoicing The Estimating option is a key part of the overall module. Estimates may be created either from the main menu, or specifically for a call whilst in the Call Centre. Estimates can be created either by free typing, or by selecting from items held within the Siclops Stock system. These may be of various types, ranging from individual 'unit' types, volume related, Labour, or full Schedule of Rates. Sets of 'rules' may also be present and will be used to control items which 'Must' be included, and those which 'Must Not'. Text files or Graphics may also be included in an Estimate, and the use of formatting codes ensures the final printed document is exactly as required. Each estimate may be amended as many times as necessary, with all 'revisions' being stored individually. Any one or more of these revisions may be converted to a Sales Order when accepted. Estimate 'templates' may also be created and reused for different clients. When an Estimate becomes a Sales Order, it may be used to automatically create the required Purchase Orders, as well as Equipment/Assets, Service Contracts and Calls, from the information already present. Numerous reports are available such as outstanding estimates, orders and deliveries, allowing both progress of estimates, as well as conversion rates and profitability to be monitored. |
